About SeatHere
SeatHere is an event seating tool that allows organizers to create an event, upload or enter guest information, assign tables and optional seat numbers, upload a seating plan, and share a guest-facing event page.
Guests can search for their own seating assignment without creating a SeatHere account.
Information SeatHere processes
The information processed by SeatHere depends on how you use the service.
Organizer information
Organizer accounts may include an email address, authentication information, account identifiers, and information necessary to operate the organizer dashboard.
Event information
Event information may include the event name, event date, venue, public event link, seating-table information, and seating-plan images uploaded by the organizer.
Guest information
Organizers may provide guest names, group names, assigned tables, and optional seat numbers.
Contact requests
If you contact SeatHere, the service may receive your name, email address, selected message category, and the contents of your message.
Technical information
The services used to operate SeatHere may process technical information such as IP addresses, request logs, browser information, device information, and security or diagnostic data.
How information is used
SeatHere uses information as needed to provide and maintain the service. This includes authenticating organizers, managing events, displaying seating assignments, delivering support messages, protecting the service from misuse, troubleshooting issues, and maintaining reliability.
Guest seating information is not intended for advertising profiles or unrelated marketing. SeatHere does not require guests to create accounts in order to look up their seating assignment.
How guest lookup works
Published event pages allow guests to search for their seating assignment by name. SeatHere does not provide visitors with a publicly browsable list of all guests.
Guest lookup is intended to return matching seating information only after a guest name is entered.
Seating-plan images
Seating-plan images uploaded by organizers are stored in private application storage. SeatHere uses those files to display the seating map associated with an event.
Images may be processed, converted, or compressed before storage to reduce file size and improve performance.
30-day event-data retention
SeatHere is designed around temporary event data. Event-related information is scheduled for automatic deletion 30 days after the event date.
This deletion includes the SeatHere event and associated guest information, seating tables, seating-plan mapping data, and stored seating-plan files managed by the application.
Infrastructure providers may independently retain limited logs, security records, or backup information according to their own operational, security, or legal requirements.
Organizer accounts
The automatic 30-day event deletion policy applies to event-related information. An organizer's SeatHere account does not automatically disappear when an event is deleted.
Account information may remain available so the organizer can sign in and create future events unless the account is separately deleted.
Service providers
SeatHere relies on carefully selected third-party service providers to operate parts of the service.
These services may include application hosting, databases, private file storage, authentication, transactional email, security, diagnostics, and other technical infrastructure needed to operate SeatHere.
Service providers may process limited personal or technical information where necessary to provide their services to SeatHere.
Some service providers may process or store information outside your province, territory, or country. Information processed in another jurisdiction may be subject to the laws and lawful access requirements of that jurisdiction.
Payments and optional support
SeatHere does not directly collect or store payment card numbers, banking credentials, or payment-account passwords.
Optional financial contributions are handled through external payment and support platforms.
If you choose to make a contribution, payment information you provide is processed by the payment provider you select and is subject to that provider's privacy and security practices.
Supporting SeatHere is entirely optional and is separate from the core guest seating experience.
Cookies and authentication
SeatHere may use browser storage, cookies, or similar technical mechanisms where necessary for authentication, security, session management, and core application functionality.
SeatHere is not designed around behavioral advertising or cross-site advertising tracking.
Data security
SeatHere uses technical safeguards intended to limit unauthorized access to organizer, guest, and seating information.
These safeguards include authenticated organizer access, database access controls, private seating-plan storage, and restricted public guest lookup.
No online service can guarantee absolute security, so organizers should only provide information reasonably necessary to operate their event.
Your choices and requests
You may contact SeatHere if you have a question about information associated with you, believe information is inaccurate, or want to request access, correction, or deletion where applicable.
For privacy-related requests, use the SeatHere contact form and select Privacy / data question.
Submit a privacy requestChildren's information
SeatHere is an event seating tool and is not designed to build profiles about children or collect unnecessary personal information about minors.
Event organizers are responsible for deciding what guest information they provide and should avoid uploading sensitive or unnecessary information about children.
